Data Deletion Instructions
DRAFT — counsel sign-off required before public launch. This page is the public front door onto deletion mechanisms that already exist and are described in the Privacy Policy. It adds no new commitment; counsel to confirm that the plain-language description below matches the policy and the DPA, and that the response times stated are the right ones.

This page explains how to have data that Little Collie Shepherd ("LCS", "we") holds about you deleted. It is written for two different people, and which one you are decides which section applies:
- You administer an LCS workspace — you or your team signed up, and you connected a YouTube channel, WordPress site, Instagram account or Facebook Page to it. Section 1 below is for you.
- You have no LCS account — you left a comment on a channel, site or page that someone else moderates with LCS, and you want your data removed. Section 2 below is for you.
You do not need to be in the EU or UK to use either route. We handle every request the same way regardless of where you are.
1. If you administer an LCS workspace
Everything in your workspace — your account, your team's memberships, the connections to your channels, sites and pages, every comment we have read from them, your allow, watch and deny lists, and the moderation record — is deleted by deleting the workspace. This is self-serve and needs no contact with us.
- Sign in and open Settings → Account. Only a workspace administrator can do this; if you are a member rather than an administrator, ask one of your administrators.
- Export first if you want a copy. The same page offers a download of the whole workspace as a single file. Once the deletion completes there is nothing left to export.
- Under Delete this workspace, choose Schedule deletion and confirm by typing the workspace's name. Nothing irreversible happens at this step.
- A 30-day grace window begins. During it the workspace is paused — nothing is read from your sources and nothing is moderated — but you can still sign in, export, and undo the deletion with one click. We email every administrator when the deletion is scheduled, again seven days before it runs, and once it has completed.
- When the window closes the deletion runs and is irreversible. It revokes and deletes every stored credential, removes every row the workspace owns, then re-counts to verify that nothing remains. Only a tombstone marking the workspace id as used is kept, so the id can never be reissued.
Two things that deletion of the workspace does that disconnecting a source does not:
- Disconnecting a source stops us reading from it; it does not delete what we already read. Revoking a channel, site or page at Settings → Sources ends our access and moderation on it. Comments already in your workspace stay there, subject to the retention periods in Privacy Policy §4, until the workspace itself is deleted.
- Removing LCS from your platform's own settings (for example, removing the app from your Facebook or Instagram account, or revoking it from your Google account) withdraws our access on that platform's side. It does not reach into your workspace. If you want the data gone as well as the access, delete the workspace as above.
Billing records are the one exception to "everything": we keep the invoices and payment records tax and accounting law require us to keep, for as long as it requires, as Privacy Policy §4 states.
2. If you do not have an LCS account
If you commented on a channel, site or page that its owner moderates with LCS, we hold the comment and some details about you — Privacy Policy §6 lists exactly what. We hold it on that owner's behalf: in the language of data-protection law they are the controller of your data and we are their processor. That decides who can act on your request, and it means you have two routes.
Ask the owner of the channel, site or page
The owner can erase you from their workspace directly. Erasure removes your comment text, your display name, your avatar, any notes written about you, and the reasons recorded against decisions about your comments, across the content and the logs. What remains is a record that a comment existed and what was decided about it, with every field that identified or described you overwritten — so the owner keeps the audit trail of their own moderation, and it no longer says anything about you.
This is usually the fastest route, because the owner does not need to verify who you are through us and has the tools already.

If you cannot reach the owner, or would rather not, write to privacy@littlecollie.com. We will acknowledge the request, verify that it is genuine, pass it to the owner as their processor, and assist them in acting on it.
Include, so that we can find the right record without asking you for more:
- Which channel, site or page you commented on — a link is ideal.
- Your account on that platform — the channel URL or handle you commented from, or for a WordPress site the email address you left with the comment.
- Roughly when you commented, if you know.
- A way to reply to you. We verify a request using contact details we can establish independently, so we may write back to the account you commented from rather than to the address you wrote from.
Please do not send us a copy of an identity document, a password, or anything else we have not asked for. If we need more to verify the request, we will say exactly what.
What to expect. We respond within one month of receiving a request, the deadline the GDPR sets; in the rare case the law allows us longer for a complex request, we will tell you so within that first month and explain why. If we cannot find any record of you, we will say so rather than leave the request unanswered.
Deletion also happens without a request. Records about commenters are redacted automatically 24 months after they were last relevant, whether or not anyone asked — see Privacy Policy §4. A request is how to have it happen sooner.
3. Deleting an LCS account that is not a whole workspace
If you are a member of a workspace rather than its administrator, an administrator can remove you at Settings → Team. That ends your access to the workspace; it does not delete your login itself, because one login can belong to several workspaces. To have the login record deleted as well — your email address, password, and any passkeys — write to privacy@littlecollie.com from the address you signed up with, once you no longer belong to any workspace. A login is also deleted automatically when the last workspace it belonged to is deleted.
